New Highlighted Features and Enhancements

  • NEW - Applicant Portal

    • This enhancement is part of our ongoing commitment to providing a seamless and efficient application process for your prospective tenants.

    • Rentvine User Account Requirement: To ensure a secure and personalized experience, all applicants will now sign in using a Rentvine user account. If an applicant does not have an account, registration is simple and quick.

    • Application Tracking: Applicants can easily track the progress of their application.

    • Pause and Resume Applications: We understand that applying can be a process that requires time and information gathering. Our new portal allows applicants to leave their application and return exactly where they left off, ensuring a stress-free application experience.

    • Post-Submission File Upload: Should an applicant need to upload additional files after submitting their application, our portal now supports secure file uploads to completed applications. This means applicants can add necessary documents without hassle, even after submission.

    • Application Reminders: If an applicant has an incomplete application, a reminder email will be sent to the applicant


  • NEW - Enhanced Vendor Portal Experience

    • We are excited to announce significant enhancements to our Vendor Portal, designed to improve both user and mobile experiences for your vendors. This update brings a host of new features and improvements that make managing work orders, invoices, and communications smoother and more intuitive.

Improved Work Order Management

  • Real-Time Visibility: Vendors can now easily view the status of work orders at a glance, with filters for pending, open, and due-soon. This allows for better planning and prioritization.
  • Scheduled Work at a Glance: The new calendar feature allows vendors to easily see their scheduled work orders. This visual overview helps in better managing time and resources, ensuring no overlaps or missed appointments.
  • Rating Insights: Access to tenant ratings is now straightforward, helping vendors understand how their service is perceived and where improvements can be made.

Enhanced Invoice Processing

  • Simplified Submissions: Submitting invoices has never been easier. Vendors can choose to upload their existing invoices or create new ones directly within the portal.
  • Status Tracking: Vendors can now track the approval status of submitted invoices, providing clear visibility into the payment process.

Streamlined Estimates

  • Efficient Tracking: Tracking estimate requests from property managers is now more efficient, enabling quicker responses and better service delivery.

Mobile-Friendly Communication

  • Enhanced Chat Module: The chat feature within work orders has been upgraded for better usability on mobile devices, ensuring vendors can communicate effectively while on the move.


  • NEW - Notify Residents for Upcoming and New Charges

    • Advance Notification: You now have the option to let residents receive notifications three days before any upcoming/recurring charges are posted. This heads-up ensures that residents are aware of what to expect, helping them manage their finances better.

    • Notification of New Charges: You now have the option that whenever new charges are posted to an active lease (excluding recurring charges), residents will be promptly notified. This feature is useful for maintaining transparency and avoiding any surprises when it comes time to pay.

    • Customizable Communication:  Along with a standard notification message for these new notifications, we are offering the flexibility to use a customized email template. This allows for tailored communication that can align with your branding or specific messaging requirements.


  • NEW - Auto Share Work Order with Owner

    • We have introduced a new global setting that enables work orders to be automatically shared with owners immediately after they are submitted through the resident portal.


  • NEW - Webhooks

    • Real-Time Data Integration: Webhooks are now available to facilitate the real-time transmission of data to other applications as events occur.

    • Easy Setup: Property Managers can easily create and configure webhooks, specifying the URL to which event data should be sent.

    • Event Options: Initially, two event types are available for webhook integration, with plans to expand this selection to include more events in the future.

    • Webhooks can be configured by navigating to Settings / Other / Webhooks


  • NEW - Assignee Management for Portfolios, Applications, and Leases

    • Enhanced Assignment Capability: We have introduced the Assignee feature, allowing you to designate users from your Rentvine account as managers for specific Portfolios, Applications, or Leases effortlessly.

    • Notification System: Once assigned, users will receive tailored notifications related to their specific Portfolio, Application, or Lease. There is also an option to customize personal notification settings, which enables receiving updates on these items even if not directly assigned.

    • Improved Filtering Options: The dashboard widgets and reports can now be filtered by assignee, making it easier to view and manage information relevant to specific managers.


General

  • Pages below have been restructured to enhance both user experience and mobile accessibility

  • Creating a letter process from a letter template on various objects such as portfolios, leases, work orders, etc…

  • Enhanced the file management feature in the vendor portal to display identical folder structures on the files tabs for both work orders and vendor contacts. This ensures that shared folders and files appear with consistent organization across these sections. Similar updates for the owner and resident portals are planned for release in the near future.

  • Added ability to sort by date created or file name on all files tabs

  • Improved the Rentvine user registration form to notify users when the email address they're attempting to register with is already in use. The form will now prompt them to log in using that email address, rather than attempting further registration

  • Added clickable links across numerous areas for convenient access to further details.

  • Added extra documentation to the API guides for inspections

  • Added lease field to screening/application export endpoint

  • Added ability to let user change their email address when modifying their profile


Dashboards

  • Introduced an accounting dashboard within the accounting section

  • Introduced the following new dashboard widgets.  Giving you more options to display customizable data insights:

    • Work Order Estimates List

    • Work Order Statistics

    • Bill List

    • Payment (Money In) List

    • Property List

    • Unit List

  • Added ability to click on specific statistic numbers on dashboard widgets to view a detailed breakdown

  • Added and modified dashboard widgets loading skeletons

  • Added “portfolio” column as an additional option to the Lease List widget

  • Added “property group” as a filter and column option to the Lease List widget

  • Added “is approved” as a filter option to the Bill List widget

Portfolios

  • Introduced the ability to designate a user as the assignee for a portfolio

    • The assignee is who manages the portfolio

    • Allows for filtering of dashboard widgets and reports based on the assignee of a portfolio

    • Portfolio event notifications will notify the assignee of the portfolio

  • Now, upon deactivating a portfolio, you can choose a closure date for the portfolio and include this in your reports.

  • Added ability to filter the portfolio list view page by portfolio tags

Properties

  • Introduced a new units list view page to easily see a list of all units

  • Added functionality that allows the entry of negative dollar amounts when creating or editing a budget

  • Added ability to filter the property list view page by property tags

  • Introduced functionality to switch a property's type from commercial to another type, and vice versa.

  • Introduced a "Cost" field for appliances, enabling you to track the expense associated with each appliance.

Screening and Applications

  • Introduced the ability to designate a user as the assignee for an application

    • The assignee is who manages the application

    • Allows for filtering of dashboard widgets and reports based on the assignee of an application

    • Application event notifications will notify the assignee of the application

  • Added the ability to add watchers to an application. Watchers will receive the same notifications that the assignee of the application receives

Leases

  • Introduced the ability to designate a user as the assignee for a lease

    • The assignee is who manages the lease

    • Allows for filtering of dashboard widgets and reports based on the assignee of a lease

    • Lease event notifications will notify the assignee of the lease

  • Added ability to filter the lease list view page by lease tags

  • Added the ability to add watchers to a lease. Watchers will receive the same notifications that the assignee of the lease receives

Rentsign

  • If a signer declines a rentsign document and added comments when declining, those comments now appear on the email notification

Accounting

  • Introduced a "Signatory Field" for bank accounts, providing an option to specify the name of the person authorized to sign checks. This new field is applicable for Remote Checks and can also be utilized when printing checks from Rentvine.

  • Added the ability to add tenant charges to an existing bill.  This is useful if you want to associate lease charges to a bill after its been created.

  • Added an additional column to the Positive Pay report named “Issue”.  This column identifies if the payment was issued (I) or voided (V).  The positive pay report can be found in the banking section

  • On the Pay Owners page, a warning message now appears if the amount entered for distribution to the owners exceeds the recommended distributable amount

  • On the Pay Bills page, added a “property group” filter to easily search for bills associated to a property group that you want to pay

  • Added vendor phone number and address to the rentvine generated PDF of the vendor created invoice that was submitted through the vendor portal

Communications

  • Introduced a feature enabling you to tailor your notification preferences based on your assignments to specific objects (Portfolios, Applications, Leases, and Work Orders). These preferences can be adjusted in the personal notifications section of the settings area.

  • Introduced a new type of notification for when a lease is assigned to a user

  • Modified email configuration to improve email deliverability

  • Added functionality to save a draft of an email if you accidentally click out of the email box when composing an email

  • Added lease tags and property tags as filter options to the generation of mass letters process.  Allows you to filter the list of recipients based on those tags

Maintenance

  • Introduced a global setting that allows for automatic sharing of work orders with owners as soon as the work order is submitted via the resident portal.

  • Added option to share work order estimate files with owner when sending the estimate to owner for approval

  • Introduced functionality to enlarge the description field of a work order while editing the description.

  • Added “Date Created” field to work order detail view to show date and time that work order was created.

  • Added phone number of vendor on the work order detail view page

  • Added ability to filter the work order list view page by work order tags

  • Added two additional column options to the work order list view page

    • Amount Billed

    • Amount Paid

Contact

  • Added additional international

  • Expanded ability to enter international addresses for contacts

Reports

  • Added ” Increase Eligibility Date” as a filter and column option to the Rent Roll report.

  • Introduced "Is Empty" and "Is Not Empty" as new filter options for date comparisons in reports.

  • When selecting the option to email a report, the To field will now populate the email addresses of your current contacts.  This makes it easier to find the email of your owners, vendors, HOAs, etc…

  • Now, when you choose to email a report, the 'To' field will automatically fill with the email addresses from your current contacts list when you start typing, simplifying the process of locating the emails of your owners, vendors, property managers and HOA’s.

  • Introduced an "Accrual" filter option for running the following reports:

    • Balance Sheet

    • Cash Flow

    • Income Statement Annual

  • General Ledger report now sorts in date order, from oldest to newest.

  • Added “Property Type” and “Maintenance Category” as a filter, column and grouping option to the Vendor Payment report

  • Added “Other Payment Type” as a filter and column option to the Vendor Payment report

  • Added “Work Order Project Number” and ”Work Order Project Name” as a filter and column option to the Work Order report

  • Added “Property Type” filter to the Unit Management Fee report

  • Added “is Payment Returned” as a filter and column option to the Check Register report

Resident Portal

  • Restructured insurance section of the resident portal to enhance both user experience and mobile accessibility

  • Introduced a feature that allows the removal of the "priority" option from the Create Service Request form. This ensures tenants cannot select a priority level when making a service request. The option can be adjusted via settings/portals/resident settings.

  • Added ability that allows the resident to print out their ledger on the resident portal

Vendor Portal

  • Removed “Estimated Cost” of a work order from vendor portal

Fixes

  • Fixed and issue when completing a move in was creating tenants

  • Fixed “On or Before Today” filter on reports to not show date input field

  • Fixed showing the payer of an other payment on the ledger

  • Fixed application report to not show applications that do not have applicants associated to them

  • Fixed issue where entire contents of work order estimate description was not visible on the owner portal

  • Fixed image preview zoomed in too far to view full image
