What’s new in internal maintenance management
1. Manage internal maintenance techs with ease
From the Maintenance > Technicians tab, property managers can view all internal maintenance staff within Rentvine. You can:
Add new techs and assign permissions
View timelines and work order activity
Send invites, communicate directly, and attach files
Review performance and feedback
This page functions similarly to the Vendors section, but is built specifically for your internal maintenance team.
2. Empower techs with their own portal
Once set up, your internal maintenance technicians gain access to their own Technician Portal. Here, they can:
View all assigned work orders
Filter by status (open, overdue, scheduled, etc.)
Access a calendar view showing daily, weekly, or monthly tasks
This visibility keeps everyone organized and ensures techs always know what’s next.
3. Track time, labor, and materials
Within each work order, techs can:
Log start and end times or total duration
Add labor and materials used for the job
Include photos, notes, or supporting files
These details are automatically visible to property managers, who can review and adjust entries before creating invoices.
4. Smooth job completion workflow
Once a task is finished, the technician can mark the work order as complete. The system will prompt them to:
Add completion notes
Confirm materials and labor entries
Upload final documentation or photos
After submission, the property manager can review, approve, and generate an invoice—creating a complete, accurate maintenance record from start to finish.

The Internal Maintenance Technician Portal strengthens collaboration between property managers and their maintenance teams. It brings structure and visibility to the repair process—reducing miscommunication, eliminating manual tracking, and ensuring accurate billing every time.

Rentvine team, how we doing? We have another Rentvine Academy video, and this is another segment on Internal Maintenance—but now we’re taking a look at the Technician Portal.
Here’s what it looks like from the property manager’s side. Under Maintenance > Technicians, you can view your list of internal maintenance techs. This section works similarly to your vendor contacts, but includes added functionality for managing internal staff. You can add internal maintenance tags, send invites, view contact information, review timelines, and access work order history.
When we switch to the technician’s side, they’ll see their assigned work orders—whether they’re open, overdue, or scheduled. They’ll also have a calendar view by day, week, or month to keep track of upcoming tasks.
Each work order includes details like labor, materials, and time tracking fields. Technicians can clock in and out, record start and end times, and list all materials used. Once finished, they can mark the order complete, add notes, and upload resolution photos or files.
When submitted, property managers receive these updates instantly and can review, approve, and invoice directly from Rentvine.
This workflow ensures maintenance jobs move efficiently from assignment to completion, keeping everyone on the same page.
