Stay Ahead of Owner Communication with Rentvine’s Balance Notification Feature
Keeping property owners informed about their account balances is a critical part of trust-based property management. Rentvine's Owner Balance Notification feature automates this process—so you can keep owners in the loop when their operating balance falls below the required reserves, without manual outreach.
In this blog, we’ll walk through how to activate this feature, customize the settings, and control who receives these alerts.
What Are Owner Balance Notifications?
When an owner's operating balance drops below their total required reserve amount, Rentvine can automatically send an email notification. This notice prompts the owner to make a payment to bring their portfolio back into balance.
This helps ensure:
Timely fund replenishment
Fewer delays in handling expenses
Transparent owner communication
How to Enable the Notifications
To turn on this feature, follow these steps:
Navigate to Global Settings
Scroll down to Portfolio Settings
Click Edit
Toggle "Enable Balance Notices" to On
Once enabled, all portfolio owners will receive email notifications by default if their balances drop below the reserve threshold.
Key Configuration Options
When enabling balance notices, you have a few important customization options:
1. Exclude Reserves
This setting allows you to exclude reserve amounts from the threshold calculation if desired.
2. Balance Notice Threshold
Define the dollar amount at which the system will trigger a notice. For example, if you set the threshold at $200, any owner with a balance below that will receive a notification.
3. Custom Email Templates
By default, Rentvine sends a built-in email to owners. However, you can customize this by creating your own balance notice email template under your template settings. This allows you to control the tone, branding, and content of your communication.
If left blank, the default message includes:
A breakdown of the balance and reserve requirements
A clearly marked "Make a Payment" button that links directly to the owner portal
This makes it easy for owners to take action immediately.
Portfolio-Level Overrides
While this setting is global by default, you can turn off notifications for specific owners if needed. This is especially useful for owners who prefer not to receive automated alerts.
To disable for individual owners:
Go to the Portfolio Details page
Click Edit
On the side panel, toggle "Disable Balance Notices"
Save changes
This ensures flexibility without sacrificing automation.

Hey guys, welcome back to another Rentvine Academy. I'm Alex Cordova, sales engineer here at Rentvine, and today we're going to be going over how to enable owner balance notifications.
To start off, you're going to go to your global settings, you're going to scroll down here, select portfolio settings, click edit, and now you can see that you can enable balance notices.
Once this setting is turned on, all your owners will receive an email notification that their owner operating balance has fallen below their total required reserves.
There's a couple settings you can enable here—you can exclude reserves and calculate your total required reserve amounts. You can enter a balance notice threshold, and the very important one I want to touch base on is your email template for balance notices.
By default, this is left blank, and Rentvine will send a default email notification to your owners once they go below that threshold amount. If not, you could enter a custom balance template that you can create in your settings.
Once this is left blank though, I'll show you what our notification looks like. So I'm going to click save here.
I'm going to take you to our notification. And you can see that the default one gives the owner a balance breakdown and what's required for them to pay, with a blue “Make a Payment” button.
So we make it really easy for your owners to receive this notification and access their portal to make that contribution.
And this is what this notification is all about—easy communication between you, the property manager, and the owner. That way they can submit their funds and their portfolio goes back to an even balance or a surplus amount.
I also want to let you guys know that under the portfolio details page, you're going to have the ability to disable this notification for specific owners.
So you could turn it on globally, but if you know some owners don't like notifications or don’t like getting blown up over email, you can disable this.
Just navigate to your portfolio detail screen, select edit, scroll down, and disable balance notices. You can save that.
