Rentvine tip of the week: Episode 18 - Introducing pods functionality: Streamlining portfolio access


At Rentvine, we’re always focused on building tools that make property management more organized and secure. In this week’s Rentvine Academy video, Sales Engineer Alex Cordova introduces Pods Functionality—a brand-new feature that helps property managers and administrators control visibility across multiple portfolios or regions.

What’s new in portfolio management

1. Assign portfolios with precision

The Pods feature allows you to group portfolios together—such as by region, city, or property type—and assign those groups to specific users or property managers. This ensures each team member only sees the properties relevant to their work.

2. Simple setup in Global Settings

Setting up Pods takes just a few clicks:

  • Navigate to Global Settings > Pods

  • Create a new Pod and name it (for example, “Oklahoma” or “Texas”)

  • Select the portfolios to include
    Once saved, the Pod is instantly available to assign to users.

3. Restrict user access by role

In Users, Roles & API, admins can easily assign Pods to users. This ensures employees only have access to the data they need, maintaining privacy and reducing clutter across accounts.

4. Quickly toggle between Pods

For users assigned to multiple Pods, the Pod Toggle makes switching views effortless. Use the dropdown menu to filter your dashboard by Pod, narrowing results from thousands of properties down to just the relevant subset.

5. Full admin access

Admins or users with administrative roles maintain unrestricted visibility. They can view all Pods in the system, toggle between them, or see the entire portfolio at once—providing both control and flexibility.

Whether you’re managing multiple cities, states, or business units, Rentvine’s Pods feature streamlines how teams access and organize information. It enhances data security, improves focus, and scales seamlessly as your portfolio grows.

This update is especially useful for:

  • Multi-location property management companies

  • Large teams with regional divisions

  • Smaller companies looking to limit access by role

Welcome back, guys, to another Rentvine Academy. I'm your host, Alex Cordova, Sales Engineer here at Rentvine, and we have a brand-new feature to showcase today—Pods Functionality.

Now you can restrict your employees or property managers to specific portfolios in your Rentvine account so they only see what they’re assigned to.

Setup is quick and easy:
Navigate to Global Settings, scroll down to Pods, and you’ll see your existing Pods. For example, I have two—Oklahoma and Texas. This is ideal for larger property management companies with portfolios across multiple regions, or smaller PMs who want to limit access for specific team members.

To add a new Pod, just name it, select the portfolios, and save. Once created, you can assign that Pod to a user under Users, Roles & API.

Another great feature is the Pod Toggle, a dropdown menu that lets users filter between their assigned Pods. For example, I can switch from viewing 10,000 units to only the 2,000 units within my Pod.

If you’re an admin, you have access to all Pods in the system, allowing you to filter or view all data at once.
