What’s new in maintenance management

1. Internal and external maintenance options

When a work order is created—whether from the tenant portal or directly within Rentvine—you can now assign it to internal maintenance staff or an external vendor. This flexibility ensures you’re always routing jobs to the right team.

2. Track labor, materials, and costs

Once assigned to internal maintenance, Rentvine automatically populates the labor and materials section for that work order. Each item connects to your price book, allowing you to log:

  • Material costs and purchase info

  • Hourly labor rates

  • Markups applied to owners

This data syncs seamlessly with the work order, so every charge is accurately recorded.

3. Manage your internal price book

The price book keeps your maintenance rates consistent. You can add or edit materials, labor types, and markups, ensuring all costs are transparent and standardized across your team.

4. Review and adjust before invoicing

Before creating an invoice, property managers can review all details—labor hours, start and end times, and materials used—to ensure accuracy. Adjustments can be made as needed before billing.

5. Automatically generate invoices

Once work is completed and the order is closed, Rentvine makes invoicing simple. The system automatically calculates itemized charges based on the labor and materials logged. You can create and customize invoices directly from the work order and sync them to your accounting records instantly.

How we doing? How we feeling? Today we have another video of Rentvine Academy, and we’re going over internal maintenance.

Let’s get started. You can now use a specific price book to track materials, labor, and hours worked. Internal maintenance techs can log into their own portal and submit information directly.

When a work order comes in from the tenant portal, you can assign it to an internal or external technician. Once assigned, you’ll have full control of scheduling and see the labor and materials section populate automatically.

The system pulls data from your price book, where you can manage materials, set purchase info, and apply owner markups. Labor types and pay rates are also managed here.

Before marking a work order complete, you can review and modify any details—labor duration, materials used, or start and end times—to ensure accuracy.

Once the job is done, mark it as closed, then create an invoice directly from the project page. Rentvine automatically itemizes labor and materials, calculates totals, and posts the invoice to your accounting system.
