Lease Renewal Reverts, TLL Charge Linkage & Owner CRM Beta Push

Lease Renewal Stage Revert, TLL Charge Linkage, Owner CRM Beta Push, and a major Maintenance Calendar stability pass.

This train delivers two high-value leasing features: PMs can now revert lease renewals to a prior stage (top beta feedback request), and TLL tenant billing charges are now properly linked to leases with automated deactivation/cancellation rules. The Owner CRM takes another big step toward beta with co-owner portal, mobile-first owner forms, pre-qual lockdown, owner-to-property assignment, and lead stage automation. The Maintenance Calendar gets five targeted fixes for multi-tech scheduling reliability.

Biggest Value in This Release

1) Lease Renewal Stage Revert

PMs can now move a renewal backward through the pipeline (Review → Price & Send → Sign → Finalize) instead of being locked into a forward-only flow. Previously the only escape was "Move Out," which removed the lease from the renewal flow entirely. Now if an offer was sent prematurely, pricing needs to change, or a tenant's situation shifts, PMs can revert with clear confirmation of what happens to in-progress offers, signatures, and documents at each step. The eligible days setting was also extended to support larger PMCs that manage renewals further out.

2) TLL Charge Linkage & Deactivation Rules

TLL recurring and one-time charges are now linked directly to leases via new database columns. This means the system can track which charges belong to which policy, enabling proper cleanup during deactivation and cancellation. Deactivation rules are codified across four scenarios: active policies that have charged, active policies that haven't charged, pending effective dates, and pending lease activations. Editing a pending effective date no longer creates duplicate charges. Move-in flow charges are now properly linked as well.

3) Owner CRM: Continued Beta Push

The CRM team shipped 10 items this release, building out the end-to-end owner experience:

  • PMW + RV integration (CRM-1) is live, connecting PMW lead capture directly into Rentvine's owner leads table with tracking codes, UTM parameters, and automatic account invitations.
  • Co-owner portal page (CRM-44) now collects first name, last name, email, phone, address, tax info, and payment information from co-owners invited via email.
  • Mobile-responsive owner portal (CRM-4, CRM-63) ensures the pre-qual and onboarding forms work well on phones, which is where most owners will complete them.
  • Pre-qual lockdown after submission (CRM-8) prevents owners from making changes after submitting. PMs can still edit but receive warnings that RentSign docs may need regeneration.
  • Add owners to properties (CRM-52) and pre-qual add owners (CRM-51) enable the ownership structure workflow, letting PMs add co-owners who need to sign the PMA or fill out co-owner forms.
  • Owner lead stages (CRM-83) are being fixed so statuses properly transition through the lifecycle: new lead → in-progress (account created / pre-qual started) → submitted → needs approval → onboarded.
  • Updated default form sections (CRM-99) simplifies the form appearance by consolidating duplicate section groupings into larger sections with multiple field groups.
  • PMW environment naming fix (CRM-108) resolves a configuration issue in the PMW integration.

Enhancements

  • Added the ability to revert a lease renewal to a previous stage, so PMs can correct course without exiting the renewal flow entirely.
  • Extended the eligible days setting for lease renewals to support larger PMCs that need longer planning horizons.
  • Added TLL recurring charge and one-time charge linkage to leases with codified deactivation/cancellation rules across four scenarios.
  • Fixed TLL editing a pending effective date so it no longer creates duplicate charge records.
  • Fixed TLL move-in flow charges not being linked back to the lease.
  • Added the RentFinder button to the Lease Renewals flow at the Price & Send stage (VINE-4332).
  • Updated work order note labels from "vendor" to "technician" for consistency across internal and external techs.
  • Technician hourly rate now remains editable when marking a labor type as non-billable.
  • Plaid income verification toggle is now configurable per application template (behind feature flag), giving PMs more flexibility once the flag is enabled (GB-111).
  • CRS Credit Report expanded view with tradelines section and responsive layout improvements (GB-129).
  • Plaid bank connection built for Bank Sync project (BEAN-1).

Fixes

  • Fixed work order details not populating when cloning or creating work orders at the property level (16 HubSpot tickets).
  • Fixed the Compose Email pop-up auto-opening when assigning a vendor during work order creation (7 HubSpot tickets).
  • Removed resident/tenant details from work orders tied to vacant properties or empty leases, in both manager and vendor portal views.
  • Fixed vacant units still showing tenant info on work orders.
  • Resolved calendar migration lingering issues affecting multi-tech scheduling, notifications, and portal behavior across 10+ edge cases.
  • Fixed the Maintenance Calendar not refreshing after adding a new technician.
  • Fixed a generic error when assigning a technician in the calendar; now shows specific feedback.
  • Fixed rescheduling behavior for multi-technician assignments via the calendar.
  • Fixed UI spacing when vendors are suggested on work orders.
  • Fixed hot fields not populating in RentSign lease templates (tenant email, phone, cosigner/occupant fields). Third fix attempt after two prior failed attempts (MOS-1).
  • Fixed bulk action "Send RentSign Documents" failing even when the renewal had a document attached (MOS-37).
