Customize resident portal access with Rentvine resident settings

What’s new in resident portal management

1. Control service request access

Resident settings allow you to decide whether residents can submit service requests through the portal. Most property managers enable this feature, but it can be toggled off if needed.

You can also customize service request alerts and instructions. This allows you to provide clear guidance to residents before they submit a maintenance request. The instructions appear directly on the submission page, helping reduce confusion and incomplete requests.


2. Manage work order visibility

You can determine whether residents can see vendor contact information once a vendor has been assigned to a work order. This includes vendor phone numbers and addresses.

This setting helps you decide how much communication flows directly between vendors and residents.


3. Configure notice and refund preferences

Resident settings also allow residents to submit notice through the portal. During the notice process, residents can indicate how they would like to receive a refund.

If desired, you can enable ACH refund options. Final refund decisions remain in the hands of the property manager, but this setting gives residents the opportunity to provide their preference.


4. Enable secure deposit payments to escrow

If secure deposit payments to escrow are enabled, residents who select Pay Deposit will have their funds automatically directed to the designated secure deposit bank account.

Keep in mind that the secure deposit bank account must also be configured within the payment processor settings for this feature to function properly.


5. Customize payment instructions and public statements

You can customize payment instructions that residents see upon logging into their portal. These instructions can include detailed messaging and even URL links that redirect residents outside the portal when necessary.

Public statements can also be enabled. When published, residents receive a notification that allows them to view their statement directly from the email without logging into the portal.


Why it matters

Resident settings give property managers full control over how residents interact with the portal. Whether you are refining maintenance workflows, improving communication, or simplifying move out procedures, these settings help align the resident experience with your company policies.

Customizing portal access ensures that residents have the tools they need while maintaining clear oversight and operational control.

Resident settings allow you to enable or disable specific portal features for residents. You can allow service requests, customize instructions, control work order visibility, and manage notice settings.

Secure deposit payments to escrow can also be enabled, as long as the bank account is configured within the payment processor.

You can customize payment instructions and public statements, including adding URL links if needed.
