New Highlighted Features and Enhancements


  • NEW - Property and Unit View Pages New Look

    • The details tab has undergone a redesign aimed at improving the user experience by streamlining navigation and making it more user-friendly.

    • Mobile friendly

    • New way to manage photos of a property/unit

    • Rentsign documents tab is now a section within the details section

    • All new Timeline, Notes and Alerts design


  • NEW  - Work Order Enhancements

    • Vendor Property Access on Work Order

      • Now, you have additional options to indicate whether the vendor is allowed access to the property or unit. If vendor access is granted, you can either provide a set of instructions manually or have them automatically populated from the default entry instructions for the property/unit.

    • Introducing a Consolidated Property/Unit Field
      • The Property and Unit fields have been merged into a single field, making it quicker and simpler to select a property or unit when creating or editing a work order.

    • Introducing a new "Tenant Financial Responsible" toggle
      • You can now conveniently indicate when a tenant is accountable for a work order. This will result in a lease charge being added when a bill for that work order is generated at a later time.

    • Choose a Lease on a Work Order
      • When you're in the process of creating or modifying a work order, you now have the flexibility to select any lease linked to the unit. You're not restricted to just picking the active lease anymore; you can now opt for any pending or closed lease associated with the unit. This grants you the ability to link a work order to leases from the past or future.

    • Automatically change the status of a work order when a vendor completes a work order in the vendor portal
      • A new default work order status can be set in the work order settings that allows you to define what status a work order should change to when a vendor completes a work order from the vendor portal.



  • NEW - Lease Enhancements

    • Automatically activate pending lease

      • You now have the option to automatically activate a lease on the start date.  You can select this on the last page of the lease creation process (Move In Tenant)

    • Choose a Default Activation Preference in Lease Settings
      • You have the option to select your preferred activation method from among three choices: Manual activation, Activation upon lease creation, or Automatic activation on the lease's start date.

    • Choose a Default Lease Fee Posting Date for Move Ins in Lease Settings
      • You have the option to select your preferred post date when charging a lease fee to the owner during the move in process (Move In Tenant). You can select from three choices: Move In Date, Start Date or Today’s Date.

    • Move Out a Single Tenant
      • You can now move out a single tenant from a lease, enabling you to maintain a historical record of the tenant's presence on the lease.

    • Set a Primary Tenant
      • Now have the ability to designate a “primary tenant” on a lease

    • Reorder Tenants
      • Rearrange tenants in any order you prefer in the lease view

      • The order that tenants are set on a lease affect how they appear on reports

    • Tenant Ledger Details
      • Added additional information to the top of the tenant ledger to easily show important details of the lease

    • Certified Funds Required
      • When disabling portal payments on a lease, you now have the option to specify if you require certified funds on the lease.  If you require it, a message appears on both the lease details page and the resident portal to let the resident(s) know that certified funds are required

    • Pending Bank Transfers at Move Out
      • Rentvine has introduced a feature that can automatically determine the necessity of a bank transfer between bank accounts when finalizing a move-out. By enabling this option on the last page of the move-out process, it will generate a pending bank transfer once the move-out process is finished. Subsequently, you can conveniently select and record the bank transfer from the banking section at a later time.

    • Choose to create Pending Bank Transfers by default on Move Out
      • You have the option to select if you prefer to create pending bank transfers on all move outs.  You can set this in the lease setting page.


  • NEW - Owners can now access owner statements without having to sign into owner portal

    • The email notification that owners receive after their owner statement is published now includes a new link. This link allows them to access their owner statement for that period, along with all related reports and files, without requiring them to sign into their portal. Please Note, that each owner receives a unique link that expires after 7 days. If the owner clicks on the link after its expired, a new email will be sent to the owner with a new unique link. Note that the email notification still provides a link for owners who prefer to sign into their portal to access other options.
    • The owner statement page for owners has been redesigned with a new layout, greatly improving organization and ease of navigation.


  • NEW - Designate a primary address, email and phone number on contacts

    • Now, you have the option to choose the main address, email, and phone number for owners, tenants, vendors, and HOAs. This allows you to specify their primary contact information.


  • NEW - Reports Menu Action Button

    • The menu button located at the top of the report view has undergone a redesign, making it more user-friendly for accessing both newly added and existing options.

    • The newly added options allows you to easily refresh the report or email the report quickly



General

  • Added a new permission type that allows you to control who can modify global notification settings.  This permission type can be found when creating or editing roles.

  • Enhanced the global search to support a broader range of phone number formats. It is capable of finding phone numbers with dashes, parentheses, and without. Incorporated multiple phone number formats into the search index

  • Changed expiration of portal invitations from 3 days to 30 days

  • Enhancements have been made to the logout criteria. The time has been extended to 7 days of no activity on the same device  This means you can stay logged in for a longer time.

  • Removed inactive email and letter templates from appearing on select dropdown fields


Portfolios

  • Added ability to filter by property group on the create owner statements process


Properties

  • Property and Unit View Pages New Look

    • The details tab has undergone a redesign aimed at improving the user experience by streamlining navigation and making it more user-friendly.

    • Rentsign documents tab is now a section within the details section

    • All new Timeline, Notes and Alerts design

  • Two New Fields

    • Management Company Entry Instructions

      • Specific instructions for the Property Management company to gain entry to the property/unit

    • Vendor Entry Instructions

      • Specific instructions for a vendor to gain access to a property or unit. Used when creating a new work order associated to the property/unit

  • Now you can choose all primary work order statuses at once when applying filters in the maintenance section of the property view page.

  • Added ability to easily create a new association when adding an association to a property


Screening and Applications

  • If applicant(s) become tenants and are converted to a lease, any applicant(s) files are now copied over to that lease

  • Enhanced Application and Applicant ID handling when merging / unmerging


Leases

  • Automatically activate pending lease

    • You now have the option to automatically activate a lease on the start date.  You can select this on the last page of the lease creation process (Move In Tenant)

Rentsign

  • Reminder email notifications are now sent automatically to parties that have not signed.  Reminder is sent every 24 hours

  • Added a “select all” and “unselect all” checkbox within the form selection area when you're in the process of creating a new Rentsign document


Accounting

  • Added unit address information to the line items of the deposit view page

  • Added CCD to the Test NACHA file

  • Added address 2 line on lease charges section of the bill view page

  • Added ability to attach files to a recurring bill, this way when the bill is created it will include the attached file

  • Added “created by” column and filter to the deposit create page.  Allows you to easily filter the list of money In payments by who recorded it.

  • Added “payment type” filter to the deposit create page

  • Added “property group” filter to the pay owners page

  • Improved the process of posting management fees, posting bulk management fees, bill payments, voiding payments, and voiding bills to efficiently handle larger quantities simultaneously.

  • Deactivated bank accounts are no longer shown in the reconciliation lapse section of the accounting diagnostics page

  • Log when “NACHA Notifications” are sent on the Payment Batch view page.  The log now appears on the timeline.

  • Added hyperlink back to associated settlement on payout return view page

  • Bank transfer create page - Added a total dollar amount at the bottom of the page that will automatically add all transfers

  • You can now see the deposit number on the lease, owner, and other payment details view page whenever the payment is linked to a deposit.

  • Added feature where you can attach files to the Other Payment page

  • Added account column to the Money Out / Credit list view page

Contacts

  • Designate a primary address, email and phone number on contacts

    • Now, you have the option to choose the main address, email, and phone number for owners, tenants, vendors, and HOAs. This allows you to specify their primary contact information.

Communications/Notifications

  • Added property/unit information to “New Note on Work order” notification

  • Added additional work order information to the notification sent to an owner when a work order is published to their owner portal (If notification is enabled)

  • Updated where the link inside the text message notification takes you.  Its based on the contact type

  • Vendor now receives a chat notification both by email and phone if vendor contact has both email and phone information on it.

  • When viewing text messages on a contact page it now automatically scrolls to the latest text message

  • Tenant Security Deposit Payment notification - new notification type that notifies the PM when a resident pays the security deposit through the resident portal.  This will only notify it the “Enabled Security Deposit Payments Direct to Escrow Account” feature is enabled

  • Personal Notification Settings - Enhanced visibility to identify which notifications are currently disabled


Maintenance

  • Vendor Property Access on Work Order

Reports

  • Reports Menu Action Buttons

    • The menu button located at the top of the report view has undergone a redesign, making it more user-friendly for accessing both newly added and existing options.

    • The newly added options allows you to easily refresh the report or email the report quickly

  • Portfolio report - added filter and column that shows number of active units per portfolio

  • Contact reports - added Tax ID as a column option to the owners, tenants and vendor reports

  • General Ledger Report - added new grouping option of “Property with Code”

  • Work Order Report - added invoice count as a filter and column option

  • Rent Roll Report - ability to sort by NSF times and Late Fee Times

  • Work Order Report - added “vendor status” filter and column to report

  • Expense Distribution Report - added “exclude suppressed” filter

  • Payables Report

    • added “exclude suppressed” filter

    • Added hyperlinks to the Amount Paid and Amount Unpaid values so it takes you to the bill

  • Added “ACH Corporate” as a filter and column option the Owner, Vendor and Association reports

  • Lease Payment Report - added option to group by deposit

  • Vendor Payment Report - added reference column

  • Added “date created” filter and column to the owner, tenant, vendor and association reports


Resident Portal

  • Residents can now submit a service request if the lease is in a pending status

  • Vendor Property Access on a Service Request

    • Residents now have an option to indicate whether the vendor is allowed access to the property or unit. If vendor access is granted, the resident can provide entry instructions

  • Residents are now prevented from setting up auto-payments with a start date in the past.

  • Introduced a feature that enables property managers to deactivate the option for tenants to choose ACH for their deposit refund on the Move Out Notice form within the resident portal. This can be found in the resident portal settings 


Owner Portal

  • Owners can now access owner statements without having to sign into owner portal
    • The email notification that owners receive after their owner statement is published now includes a new link. This link allows them to access their owner statement, along with all related reports and files, without requiring them to sign into their portal. Please note that the email notification still provides a link for owners who prefer to sign in to their portal.

    • The owner statement page for owners has been redesigned with a new layout, greatly improving organization and ease of navigation.

  • Header row of rent roll report is now pinned


Vendor Portal

  • Pet Information is now shown on the work order details for the vendor to view


Bug Fixes

  • Fixed issue where duplicate emails would be sent at times

  • Fixed issue where work order # hotfield was not rendering on preview

  • Removed the option to enter zero frequency when creating recurring type objects, such as recurring work orders, recurring bills, etc…

  • Fixed an issue where switching between tabs on the messages page was causing the page to not display

  • Fixed hyperlink to take you to the correct payout return from the settlement view page

  • Fixed issue where text of a note appeared scrambled

  • Fixed Rentvine TLI deactivation issue

  • Fixed issue where notification could  not be read on mobile device

  • Fixed issue where adding an insert field to a letter template caused a blank page
