Streamline lease renewals with the Rentvine workflow

At Rentvine, we are always building tools that simplify complex processes. In this week’s Rentvine Academy video, Sales Engineer Alex Cordova introduces the new lease renewals workflow, designed to help property managers handle renewals from start to finish without leaving the platform.

What’s new in lease management

1. A complete renewal workflow inside Rentvine

The new renewals workflow allows you to manage every stage of the renewal process within Rentvine. Instead of using spreadsheets or external tools, you can now track leases, create offers, send documents, and finalize agreements in one connected system.

You can configure how far in advance leases appear in your renewal pipeline, whether that is 30 days, 60 days, or up to 180 days before expiration.


2. Built-in offer creation and pricing tools

Once a lease enters the renewal process, you can create custom offers directly in the system. Rentvine allows you to adjust pricing based on current rent or apply a percentage increase that is automatically calculated.

You also have the flexibility to present different lease terms or convert tenants to a month to month option when needed.

If additional data is required, you can use RentFinder within the workflow to help guide pricing decisions.


3. Tenant interaction and approval flow

After creating an offer, you can send it to the tenant through the portal. Tenants are notified and can review their renewal options directly inside their account.

If needed, property managers can also manually update the status based on tenant communication outside the system. This ensures that progress continues even if conversations happen through other channels.


4. Document generation and signing options

Once the offer is accepted, the workflow moves into document generation. You can create a RentSign document directly within Rentvine or upload a lease agreement from an external platform.

After the document is signed, the system allows you to confirm completion and move forward to finalization without losing track of the workflow.


5. Finalize and update the lease automatically

In the final step, you review updated lease details such as start date, end date, and any changes in rent. You can also apply renewal fees or additional recurring charges if needed.

Once everything is confirmed, Rentvine updates the lease record in real time. This ensures that your system always reflects the most current agreement.


Why it matters

Lease renewals can be time consuming, especially for property managers handling large portfolios. This workflow reduces manual tracking and keeps all steps connected in one system.

By combining communication, pricing, documentation, and updates into a single process, Rentvine helps teams move faster while maintaining full visibility into each tenant’s status.

We recently released our renewals workflow, which allows you to handle the entire lease renewal process inside Rentvine. You can create offers, send documents, and update the lease without leaving the system.

You can view upcoming renewals based on your global settings and manage them individually or in bulk. Each renewal goes through a step by step process that includes reviewing lease details, creating offers, sending documents, and finalizing the lease.

Tenants can review offers in their portal, and you can also manage responses directly within Rentvine. You can generate RentSign documents or upload external documents if needed.

Once completed, the system updates the lease automatically, ensuring your records stay accurate.
