Three things are new
An owner lead stage. Before this, an owner was either in Rentvine or they weren't. Now there's an in-between, the same lead-stage concept prospects and residents already have. Every lead sits in a clear status: In Progress, Needs Approval, Onboarding, or Archived (with a reason, so you can tell closed-won from closed-lost at a glance). A "last connected" column tells your team exactly who needs a follow-up today.
A real PMW integration. PMW used to hand you a lead and a rough value estimate, then disappear. Now those leads flow directly into your pipeline, and you can watch what actually happens to them: every stage, every status.
One-click onboarding. This is the moment every PM remembers the first time they see it. Collect everything you need while someone is still a lead. When they're ready, click Onboard. Rentvine builds the portfolio, properties, units, and owner record for you, every field already populated.
Why it matters
The path from lead to owner is fragmented today. PMW hands off a lead. Staff chase the owner and track it wherever they can. Forms get collected in JotForm or Excel. A PMA goes out, gets signed, comes back. Someone re-enters the entire onboarding packet into Rentvine by hand and builds the portfolio from scratch. Every handoff is a chance to lose data, miss a step, or stall the deal.
You fill it out once, not three times. Today an owner fills out the PMA, then an onboarding form, then a staff member re-enters all of it into Rentvine: the same data, captured three times. CRM: Owner Lead Portal pulls the PMA fields in automatically. The owner just signs.
Nothing stalls on one person. A stuck form freezes your whole workflow until the owner finishes it. With CRM: Owner Lead Portal, either side can fill it out. For full-service scenarios, staff can complete the pre-qualification form on the owner's behalf. If an owner gets stuck on a bed/bath count, staff enter it and move on. How one-click onboarding works
Onboarding actually happens in two steps, and both happen before an owner is ever fully signed, no matter where the lead came from.
Pre-qualification. A short form collects owner and property details. Rentvine supports multiple owners (PMA signers and payment contacts) and multiple properties on a single lead. The form adapts as it goes, asking follow-up questions based on what's already been answered.
Onboarding. Once pre-qualified, a separate, more detailed form collects the complex stuff: utility details, HOA provider, payment information, and more. That data maps straight into your property and portfolio records.
One-click build. Once you approve it, click Onboard. Rentvine builds the portfolio, properties, units, and owner record in a single click, with every field already filled in. Signed docs save as PDFs in the record for legal reference later.
Owner review. Owners can review progress and approve or deny a lead themselves. If an owner submits, their data is finalized, but your staff can still make changes after the fact.
Two more details worth knowing:
PMAs generate themselves. Submitting the pre-qualification form automatically generates the PMA and sends it out for signature via RentSign, with every signing party already added from the form data. The owner reviews and signs. No re-entering data that's already sitting in the lead record.
One login, start to finish. Pre-qualification and the full owner portal use the same credentials. From the owner's side, there's no visible seam between "still a lead" and "fully onboarded."
