Rentvine Tip of the Week Episode 6: Updating Tenant Contact Info

Streamline Tenant Management with Rentvine’s New Contact Enhancements

Managing tenant information accurately and securely is critical to efficient property management. That’s why Rentvine has rolled out a powerful enhancement to the Tenant Contacts and Lease Details interface. These updates are designed to reduce redundant data entry, protect sensitive information, and provide quick access to tenant details—all in one place.

What’s New in Tenant Contact Management

When you navigate to the Lease Details page, you’ll now notice an expanded and more informative Tenant Card. It displays:

  • Tenant’s full name

  • Last four digits of their Social Security Number (SSN)

  • Date of birth

  • Portal status

  • Email and phone number

This updated layout puts key tenant data front and center, eliminating the need to dig through multiple tabs or custom fields.

Automatic Linking Between Lease and Contact Records

These enhancements are not just visual—they’re functional. Now, when you view a tenant in Lease Details, the system automatically pulls the relevant data from their Tenant Contact record. There’s no need to:

  • Manually enter identification fields

  • Create custom fields for sensitive data

  • Repeat information across different sections

This linkage ensures that updates to a contact record flow through to all associated leases.

Secure Handling of Sensitive Information

Security remains a top priority. Here’s how Rentvine protects your data:

  • Encrypted SSN field: Only users with permission can view or edit SSNs.

  • Access control: If a user doesn’t have edit access, the data remains hidden and uneditable.

  • System defaults: Sensitive fields are encrypted by default and never exposed in unauthorized views.

Track Identification Types with Ease

Another addition is the ability to manage multiple types of tenant identification. You can now:

  • Click Edit on the Identification section

  • Choose from a list of identification types (e.g., Driver’s License, Passport)

  • Store all relevant tenant IDs within the system

This makes Rentvine not just a property management platform, but a single source of truth for critical tenant data.

Rentvine team, how’s it going? We're here with another video for the Rentvine Academy. A few days ago, you might have noticed a new feature within tenant contacts.

Now, when you go to the Lease Details page, you’ll see a larger name card for the tenant. You can view the last four digits of their SSN, their date of birth, portal status, email, and phone number—all from one screen.

Clicking the ellipsis (three dots) lets you edit, move the tenant out, convert them to a co-signer, send portal invitations, and more.

From the Tenant Contact page, you’ll also notice the SSN is automatically linked to the Lease Details page. You no longer have to enter this information manually or use a custom field.

This field is encrypted by default, and only users with access can view or edit it.

You’ll also find a new Identification section. Clicking the edit icon lets you associate various identification types with the tenant, all within the platform.

Everything now comes directly from the application—no more manual work. Thank you for your time, and always remember: see you at the top, because the bottom is too crowded.

Why This Matters

These updates streamline daily workflows for property managers, leasing agents, and support staff by:

  • Reducing manual data entry

  • Maintaining data consistency across contacts and leases

  • Enforcing better access control and data security

  • Centralizing all tenant-related information in one view
