In this week’s Rentvine Tip of the Day, Sales Engineer Alex Cordova shows property managers how to save time with a simple but powerful automation—automatically updating work order statuses when creating a bill.

What’s new in work order automation

1. Automatic status updates

When this feature is enabled, Rentvine automatically updates the status of a work order whenever a bill is created and associated with it. This eliminates the need to manually adjust statuses, saving you clicks and reducing repetitive steps.

2. Greater accuracy and less backtracking

Because the system updates statuses consistently in the background, you no longer risk overlooking a work order that needs to be closed or advanced. It keeps everything cleaner and ensures accuracy across your records.

3. Multiple ways to trigger the update

Whether you create a bill from Money Out > Add Bill, process a pending invoice, or record a bill directly within a work order, Rentvine will update the associated status automatically.

This means no matter how your team handles billing, your work orders stay current without the extra effort.

Rentvine family, I hope all is well. Welcome back to another Rentvine tip of the week. I'm your host, Alex Cordova, Sales Engineer here at Rentvine, and today we’re going to show you a quick tip that will save you a few extra clicks.

A lot of our users probably don’t know this feature exists. As always, we’ll start by navigating to Global Settings. Scroll all the way down, look at the Maintenance tab, and select the Work Order section.

At first glance, you’ll see a lot of information and settings you can change and update, but we’re focusing on the very last one: Default change work order status when creating a bill.

We already have this turned on. What this does is automatically change the status of a work order whenever a bill is created and associated with it. Instead of creating a work order, creating a bill, then going back to manually update the work order status, the system now does it for you.

For example, here we’ve added the “Complete—Completed Unbilled” status. Once I save that, the system will automatically update all my work orders to that specific status whenever a bill is created.

It doesn’t matter if you’re under Money Out > Actions > Add Bill—as soon as you create and link the bill, the system changes the status. The same goes for any work orders with invoices pending review. If I navigate to Maintenance > Work Orders and open one with a pending invoice, once that invoice is converted to a bill, the status updates automatically. The same applies if I go to Actions > Record Bill within a work order.

So remember: as long as a bill is created and associated with a work order, Rentvine will automatically change the status for you.
