Manage communication across your portfolio with Rentvine messaging tools

At Rentvine, communication is designed to stay connected to the records that matter. In this week’s Rentvine Academy video, Sales Engineer Cristian Torres walks through how chat, email, and text messaging work across the platform so property managers can easily track conversations and stay organized.

What’s new in communication management

1. Centralized messaging across the system

Rentvine allows you to view communication from a central location. By navigating to Contacts and then Messages, you can see text messages, mass emails, and letters that have been sent across your account.

Each message includes details such as the subject line, date sent, and recipients. You can click directly into a message and jump to the related contact or record.


2. Communication tied to the right records

Messages are stored based on where the conversation begins. If you are communicating with an owner, messages are typically tied to the portfolio level. If the conversation is related to a tenant, it is usually connected to the lease.

Work order communication is stored directly within the work order. This ensures that maintenance related conversations stay organized alongside the task itself.


3. Email and text threads stay connected

Rentvine keeps communication threads intact even if you reply outside the system. For example, if you send an email from Rentvine and continue the conversation through Gmail or another email provider, the system will still track that thread.

Text messaging works similarly. A contact’s phone number is linked to their profile, so all text communication remains connected regardless of where it is accessed within the system.


4. Quickly find messages when you need them

When you receive a notification about a new message, Rentvine includes a direct link that takes you to the exact location of that conversation.

If you miss the notification, you can still locate the message by navigating to the related contact, lease, portfolio, or work order. This flexibility ensures you can always find communication without searching through multiple systems.


Why it matters

Communication is a critical part of property management. When messages are scattered across different platforms, it becomes easy to miss important details.

Rentvine keeps all communication tied to the correct records, making it easier to track conversations, respond quickly, and maintain clear documentation across your portfolio.

Hey everyone, how is it going? We have another video of Rentvine Academy, and today we are going over communication across the system including chat, email, and text messaging.

If you go to Contacts and then Messages, you can see all incoming text messages, mass emails, and letters. If the system recognizes a phone number, it will associate it with the correct contact.

You can click into any message and navigate directly to that contact or record. Communication is tied to where it is created, whether that is a portfolio, lease, or work order.

Email threads continue to track even if you respond outside Rentvine. Text messaging is also connected to the contact’s phone number, so all messages remain linked.

If you receive a notification, clicking the link will take you directly to the message. If not, you can find it by navigating to the appropriate record.
